Position Summary
Crow Holdings Capital seeks an Investor Services Associate to play a critical role in supporting investor onboarding, coordinating the fund closing process, and managing investor operations. This individual will be responsible for optimizing the closing process for CHC’s real estate funds, collaborating across internal departments and with external stakeholders to ensure a seamless investor experience.
In addition to managing closings, this role will be responsible for populating initial responses to investor due diligence requests, including DDQs, RFPs, and ad-hoc questionnaires, as well as tracking all investor requests.
Primary Responsibilities
Fund Closing Process Management
- Coordinate and track all aspects of the fund closing process from pre-close preparation to post-close documentation
- Maintain detailed closing timelines, tracking key activities based on the anticipated closing date
- Collaborate with Legal, Compliance, Fund Management, Investor Relations, Investor Coverage, and other departments to facilitate timely delivery of materials and approvals
- Coordinate with Compliance and Legal teams to ensure that OFAC, AML/KYC, and data privacy protocols are fulfilled in line with regulatory requirements and firm standards
- Manage investor tracking through Salesforce and Anduin; cross-check data and status, update list views and reports, and share updates with external counsel and internal teams
Investor Operations Support
- Ensure a high level of responsiveness and professionalism in investor interactions, acting as a key operational point of contact
- Support ad-hoc investor inquiries, RFPs, and DDQs
- Act as oversight to CRM data integrity working with Coverage. Maintain and update investor records and reporting in Salesforce; run reports and distribute to coverage and senior leadership as needed
- Liaise with third-party service provider to manage the DDQ database and improve standard response templates
- Oversee email marketing outreach lists for fund launches and other communications, coordinate compliance approvals and messaging, with execution through Salesforce Marketing Cloud
- Manage investor data rooms (e.g., Anduin) including structure, document uploads, and access controls
- Identify and implement technology-driven improvements to investor servicing operations, working with internal IT team and Salesforce Administrator
- Provide logistical support for diligence webinars and investor meetings, including tracking attendance, uploading materials to the data room, and coordinating follow-up items
Technology Platforms & Reporting
- Salesforce: Maintain records, reports, and workflows related to investor closings and status tracking
- Anduin: Manage sub doc tracking, OFAC workflow, and countersignature documentation
- DDQ Software: Update and manage investor FAQs and DDQ responses
Desired Skills & Experience
- Bachelor’s degree, approximately 5 years’ work experience
- Highly organized project manager, strong attention to detail, and proactive communicator
- Background in investor services, operations, project management or other similar operational roles
- Experience managing multiple concurrent deadlines in a fast-paced, investor-driven environment
- Demonstrated ability to work cross-functionally and build trusted internal and external relationships
- Familiarity with private fund documentation and subscription workflows a plus
- Strong email communication skills, with the ability to clearly, kindly and professionally communicate updates to or required information from investors, as well as across internal teams
- Proficiency in Microsoft Excel, Word and PowerPoint; experience with CRM tools such as Salesforce
