Position Summary
Crow Holdings seeks an Event Associate to support the company’s business initiatives, primarily at their Old Parkland campus. The ideal candidate demonstrates initiative, enthusiasm, exceptional customer service and organization skills, with strong attention to detail.
The position reports to the Director of Events for Crow Holdings and will partner with the Old Parkland event and operations teams. The successful candidate will be a pro-active team player who will support logistical execution of various events and associated projects. Candidate must maintain a high degree of composure in high pressure moments while maintaining a solution driven mindset.
Primary Responsibilities
Venue and Vendor Management
- Take lead on venue contracting/payments and related documentation for legal and insurance requirements
- Cultivate positive working relationships with event vendors (florists, audio-visual, catering, collateral)
- Act as venue manager and onsite contact for clientele, providing support throughout events (includes events outside of business hours and occasionally on weekends)
- Work with hospitality and event team to coordinate venue preparations for programs
- Develop interest in Old Parkland history, art and architecture for awareness and tours as needed
Event Logistics
- Logistical arrangements and onsite execution for Old Parkland events and programming
- Assist with planning annual community, social and family events
- Drive creative direction for social events, including branding, design components, and vendor selection
- Oversee tracking of event RSVPs
- Develop vendor contact lists, floorplans and event run of show for various events
- Design support of event and venue marketing materials (i.e., invitations, signage, printed materials, parking maps, sourcing promotional items)
- Pitch unique event opportunities for tenant base, with focus on 30 and under initiatives
- Maintain and update event database as details evolve and become firm
- Anticipate and address emerging issues as event approaches
Administrative Operations
- Manage and track event expense reports and budgets
- Maintain department documents including scanning, saving and organizing folder structures in accordance with document retention procedures
- Provide daily support for the team and perform additional tasks and special projects as needed
Desired Skills & Experience
- Bachelor’s degree and 2+ years of relevant experience in a similar role
- Highly proficient in MS Office (Outlook, Word, Excel, PowerPoint), Experience with Adobe InDesign and Photoshop a plus
- Willingness to learn event management and Customer Relationship Management (CRM) software
- Possess superb time management, organization, and communication skills, with a high degree of ownership
- Attention to detail and multi-tasking skills
- Ability to prioritize, support, and anticipate the needs of various clients and company stakeholders
- Extraordinary interpersonal skills; ability to work independently and collaborate effectively with internal business groups and external partners
- Familiarity and confidence with high-profile guests and C-Level executives
- Confidential, empathetic and diplomatic in all interactions; demonstrates flexibility and good instincts

- Ability to work irregular and sometimes long hours as well as some weekends
- Ability to withstand long periods of standing and/or walking; be able to lift up to 30 lbs
