Administrative Assistant

Position Summary

Crow Holdings Development seeks an Administrative Assistant to support multiple executives in the Dallas office. The ideal candidate demonstrates initiative, enthusiasm and has strong attention to detail.

Primary Responsibilites

  • Manage multiple calendars, tasks, email communication, and travel arrangements
  • Prepare documents including drafting correspondence, presentation and report packaging (including graphics, charts and graphs) and spreadsheets
  • Support event planning for multiple events per year, including Spring and Fall Annual Meetings and service awards
  • Retain current contact lists with business contacts; handle all inbound and outbound department mail, courier and overnight shipping
  • Maintain department documents including scanning, saving and organizing folder structures in accordance with document retention procedures
  • Prepare, submit and track expense reports
  • Support event planning for Spring and Fall Annual Meetings; coordinate service award gifts and events
  • Provide daily support for the team and perform additional tasks and special projects as needed
  • Provide back-up support for front desk coverage as needed

Desired Skills & Experience

  • 5+ years of administrative experience supporting management level professionals, representing the department with a polished professional presence and excellent communication skills
  • Experience making travel arrangements to coordinate airlines, hotels and ground transportation
  • Highly proficient in MS Office, including using Outlook to manage multiple calendars and contact lists
  • Intermediate proficiency in Excel with ability to create tables; intermediate to advanced proficiency in PowerPoint to produce polished presentations
  • Experience with Adobe Photoshop and Publisher a plus
  • Excellent time management and organization skills including the ability to prioritize, support, and anticipate the needs of several managers with initiative and enthusiasm
  • Extraordinary interpersonal skills; collaborates effectively with internal business groups and external partners
  • Confidential, empathetic and diplomatic in all interactions; demonstrates flexibility and good instincts
  • Ability to support users in-person and remotely via phone and remote access
